Job application letter: layout, samples and a letter writer

Short answerA one page formal letter that names the post, shows you fit and asks for an interview

  • Letter writer
  • Samples included
  • Formal layout
  • Checked 2 Nov 2026

A job application letter is a short formal letter that asks an employer to consider you for one named post, and it follows a set layout: your address, the date, the employer's address, a subject line, three or four short paragraphs and a formal close. Keep it to one page. Say which post you want and where you saw it, give two or three facts that prove you can do the work, and ask for an interview.

I have read thousands of these letters while screening for hiring managers. The ones that got a call were plain, specific and easy to scan in under a minute. This page gives you the layout, a writer that fills it in for you, and complete samples you can adapt in your own words.

Quick answers

  • What it is

A formal letter asking for one specific post, sent alone or with a resume or bio data.
  • Length

One page. For a real job, about 200 to 350 words is plenty.
  • Parts

Sender address, date, employer address, subject, salutation, body, close, signature, enclosures.
  • Close

Yours faithfully after Dear Sir or Madam. Yours sincerely after a name.
  • Enclosures

List what you attach: resume, certificates, mark sheets, experience letter.
  • Tone

Polite and factual. No slang, no begging, no long life story.

Using the job application letter writer

The writer above builds the full letter from seven short answers. You type the job title, the employer, where you saw the post, your experience in one line, two strengths, when you are available and your name. It places each answer in the right paragraph, adds the formal heading and close, and gives you a letter to copy, edit and print.

Worked example. Meera is applying for a front office post at a clinic. She types:

  • Job title: Front Office Assistant
  • Employer: [Clinic name], [City]
  • Where you saw it: a notice in the clinic waiting room
  • Experience: one year at a pharmacy counter handling billing and phone calls
  • Strengths: calm with patients, fast and accurate on a computer
  • Availability: can join within two weeks
  • Name: Meera

The writer returns a letter whose first paragraph reads like this, and she then edits the wording so it sounds like her:

I wish to apply for the post of Front Office Assistant at [Clinic name], which I saw advertised on the notice board in your waiting room.

For the past year I have worked at a pharmacy counter, where I handle billing, answer phone calls and keep the day's register.

Treat the output as a first draft. Replace any line that sounds stiff with your own words, add one real number (patients per day, bills per shift, marks scored) and check every name and address before you print.

Nothing you type is saved or sent anywhere. Copy the letter before you close the tab.

The formal layout, part by part

Every formal application letter uses the same order from top to bottom. Examiners and many Indian employers expect it exactly, and it reads as tidy to employers everywhere.

Writing a job application letter that gets read

Write it in this order and it will almost write itself.

  1. Pick the post. One letter, one post. If a company has two openings that suit you, send two letters.
  2. Find a name. A letter addressed to a real person is read more carefully than one to Sir or Madam. The posting, the company website or a phone call to reception will often give you the name.
  3. Choose your two best facts. A course, a result, a number of customers served, a skill the advertisement names. Facts beat adjectives.
  4. Connect them to the job. Use the words from the advertisement so the reader can tick them off.
  5. End with a clear request. Ask for an interview and say when you are free.
  6. Read it aloud. Cut any sentence you would not say to the hiring manager's face.
A job application letter and a cover letter overlap a lot. Here we focus on the formal letter and short emails. If an online portal has a cover letter box, paste a shorter version of the body paragraphs only.

Simple job application letter sample for an advertised vacancy

Use this when you are answering a specific advertisement. The facts are made up, so swap in yours.

[Your name]
[House number, street]
[City, PIN code]
[Phone] | [Email]

[Date]

The Office Manager
[Company name]
[Street, city]

Subject: Application for the post of Accounts Assistant

Dear Sir or Madam,

I am applying for the Accounts Assistant vacancy that your firm listed in the city newspaper this week. I hold a B.Com degree and have spent eighteen months as a billing clerk at a wholesale cloth trader.

In that role I prepare about forty invoices a day, reconcile the cash book every evening and file the monthly GST returns with the accountant. I am careful with figures and I meet deadlines, which your advertisement mentions twice.

I would value the chance to grow in a larger accounts team. I can attend an interview on any weekday and join after a notice period of thirty days.

Thank you for considering my application.

Yours faithfully,

Unadvertised job application letter sample

Sometimes you want to work at a place that has not posted any vacancy. This is sometimes called a letter of introduction or a speculative letter. Say why you chose them, what you offer, and ask to be kept in mind for the next opening.

[Your name], [Address], [Phone], [Email]

[Date]

Mr [Surname]
Store Manager
[Store name], [Area, city]

Subject: Request to be considered for a sales assistant opening

Dear Mr [Surname],

I shop at your store often and have noticed how busy the weekend counter becomes. I am writing to ask whether you expect any opening for a sales assistant in the coming months.

I finished my diploma in retail management in [Month] and worked two festive seasons at a garment shop, where I handled the billing counter and kept stock records. Customers there asked for me by name, and the owner gave me the keys to open the shop on Sundays.

I have enclosed my resume. I would be glad to come in for a short talk at a time that suits you.

Yours sincerely,

Short application letter for a waiter or other entry level job

For a restaurant, shop or delivery role the letter can be very short. Three tight paragraphs are enough.

[Your name]
[Address]
[Mobile number]

[Date]

The Manager
[Restaurant name]
[Address]

Subject: Application for the post of waiter

Dear Sir or Madam,

I noticed the hiring board outside your restaurant and am interested in the waiter post.

I served tables at a family dhaba for six months during college, so I know how to take orders correctly, carry plates safely and keep a section clean during a rush. I can work evening and weekend shifts.

I am free to meet you any afternoon this week.

Yours faithfully,
[Your name]

What a good letter does and what a weak one does

Do

  • Name the exact post in the subject line.
  • Give one or two numbers that prove a skill.
  • Use the employer's own words from the advertisement.
  • Keep each paragraph to three or four lines.
  • Sign it and list your enclosures.

Do not

  • Write "Respected Sir, I am in need of a job" as your opening.
  • Paste the same letter to ten employers without changing the post.
  • Mention salary unless the advertisement asks for it.
  • Share bank details, ID numbers or your PAN or Aadhaar number in the letter.
  • Use fancy fonts or coloured paper.
A request for money or ID numbers before any interview is a common sign of a job scam, so stop and check who is asking.

Letters people mix up with an application letter

Searches often mix several different letters. Here is what each one is.

Similar letters and how they differ
LetterWho writes itWhat it is for
Letter of intentYouSays you want to work somewhere in general, often before a post exists. Close to the unadvertised sample above.
Letter of introductionYou, or someone who knows youIntroduces you to a contact who may know of openings.
Reference letterA former manager or teacherDescribes your work and character. You ask for it, you do not write it.
Acknowledgement letterThe employerConfirms they received your application. No reply needed.
Regret or rejection letterThe employerTells you that you were not selected. A short thank you reply is optional.

Sending it: paper, PDF or email

Follow whatever the advertisement says. If it gives a postal address, print the letter on plain white A4 paper, sign it in blue or black ink and post it with copies of your documents. If it gives an email address, the letter can go as a PDF attachment, with a short email on top. Save the file with your name and the post, such as Meera_FrontOffice_Letter.pdf.

If the job only takes applications through an online portal, you may not need a letter at all. Fill every field properly instead; the field by field form walkthrough helps.

Questions people ask

What is a job application letter?

It is a formal letter you write to an employer to apply for one named post. It explains which job you want, why you are suitable and asks for an interview. You can send it alone or with a resume or bio data.

How do I write an application letter for a job with no experience?

Lead with your course, your best marks or a project, and any part time, volunteer or family business work. Show one quality the job needs, such as being punctual or good with customers, and back it with a short example. Keep the letter shorter rather than padding it.

Is a job application letter the same as a cover letter?

They are close cousins. An application letter is the formal letter that applies for the post, often in a fixed layout with addresses and a subject line. A cover letter usually travels with a resume and is less formal in layout. Many employers use the two names for the same thing.

Is there a job application letter sample PDF?

Use the writer on this page, then print it and choose the save as PDF option in your browser's print dialog. That gives you your own letter as a PDF, which is better than a downloaded file with someone else's details.

Should I end with Yours faithfully or Yours sincerely?

Use Yours faithfully when you start with Dear Sir or Madam and do not know the name. Use Yours sincerely when you address a named person. If a school exam marking scheme names a close, use the one it asks for.

How long should an application letter for employment be?

One page. For most jobs three or four short paragraphs, about 200 to 350 words, is enough. A school exam answer has its own word limit, which you should follow.
