The standard job application format for a letter runs top to bottom like this: your address, the date, the receiver's address, a subject line, a salutation, three or four short paragraphs, a formal close with your name, and a list of enclosures. An email keeps the same body but swaps the addresses for a subject line and a signature block. A printed or online application form has its own fixed sections, and you fill them rather than design them.
Below you will find a labelled skeleton you can copy, the spacing rules that make a letter look neat, a filled example for a vacancy, and a quick guide to the sections of an employment application form.

This is the basic job application format, and the application format for a job is the same whether you post it or hand it in. The pieces never change order. What changes is the content of the four paragraphs, and whether you know the reader's name.
Spacing, margins and fonts

|---|---|
| Paper | Plain white A4 or letter size, one side only. |
| Margins | About 2.5 cm or one inch on all sides. |

| Line spacing | Single spaced inside blocks, one blank line between blocks. |
| Alignment | Full block, everything flush left. Semi block (addresses on the right) is still accepted in some schools. |
| Length | One page. If it spills over, shorten paragraph 3 first. |
| Signature | Signed in blue or black ink above your printed name. |

Subject: Application for the post of Field Sales Executive (Ref. FS/09)
Dear Ms [Surname],
Your opening for a Field Sales Executive, shared on the careers page of your website, matches the work I have done for the last two years, so I am sending my application.
After my BBA I joined a paint dealer as a sales trainee. I now look after forty retail counters across three suburbs and have grown my area's monthly orders by about a fifth.
Your advertisement asks for someone who can travel daily and keep clean visit reports. I own a two wheeler, hold a valid licence and file my visit notes the same evening.
I can meet you on any weekday after giving my current employer fifteen days' notice. Thank you for your time.
Yours sincerely,

Semi block or full block: which format to follow
In full block format every line, including your address and the date, sits on the left. In semi block format your address and the date sit on the right, and paragraphs may be indented. Both are correct. Employers rarely care which one you use, as long as you use it the same way all through the letter.
Students should follow the style their school or board teaches. The class 12 job application page shows the exam version.
Online job application format and email format
When you apply by email, the letter heading falls away. The email itself becomes the letter.
| Letter part | In an email |
|---|---|
| Sender's address | Your signature block at the bottom: name, phone, city. |
| Date | Added automatically by your email app. |
| Receiver's address | The To field. |
| Subject line | The email subject field. Put the post title and job ID there. |
| Body | Two or three short paragraphs, around 100 to 200 words. |
| Enclosures | One line saying what is attached, with the files attached as PDF. |
For full email samples see job application email. Online portals usually skip both and give you an upload button and a set of fields, explained in online job applications.
Employment application format for printed and online forms
A printed or online employment application form has its own job application format, and every employer's version looks a little different. Most include these sections:
- Personal information: name, address, phone, email.
- Position applied for, availability and start date.
- Work eligibility: whether you can legally work in the country.
- Education: school, college, course, year of passing written as a level or class, not a date you invent.
- Employment history: employer, dates, title, duties, supervisor, Reason for leaving.
- References: usually two or three people.
- Signature and date, certifying that your answers are true.
To practise on a blank version, use our job application template.
Format mistakes that make a letter look careless
Do
- Put the date on its own line under your address.
- Write a subject line that says "Application for the post of" plus the title.
- Match the close to the salutation.
- Keep the same font and size from top to bottom.
Do not
- Skip the receiver's address.
- Write the subject in capital letters or underline every word.
- Use both Dear Sir and Respected Madam in one greeting.
- Sign with only initials, or forget to sign at all.
Questions people ask
What is the correct job application letter format?
Your address, the date, the receiver's address, a subject line, the salutation, three or four short body paragraphs, the complimentary close with your signature and name, and a list of enclosures. Full block, with every line on the left, is the safest choice.
What is the format of an application for a job vacancy advertised in a newspaper?
Use the full letter format and name the newspaper and the date of the advertisement in your opening paragraph. Quote any reference number in the subject line, and enclose the documents the advertisement lists.
Is the online job application format different?
Yes. An online portal gives you fields and an upload button instead of a blank page. You fill each field and attach a resume. If there is a message or cover letter box, paste two short paragraphs from your letter body.
Where does the date go in an application letter?
Directly under your own address, before the receiver's address. In semi block format it sits on the right; in full block it sits on the left.
Can I use the same format for an email?
Keep the body and the polite close, but drop the postal addresses. Put the post title in the subject field and add a short signature block with your phone number.
