Handwritten job application letter: how to write one neatly

Short answerUse plain paper and blue or black ink, keep the formal layout and write slowly

  • Formal letter
  • Two samples
  • India and abroad
  • Checked 7 Nov 2026

A handwritten job application letter uses the same formal layout as a typed one, but you write it by hand on plain white paper in blue or black ink, keep it to one side of one page and make it clean enough that no word needs a second look. Most employers today prefer typed letters or online forms, so write by hand only when the advertisement asks for it, often with the words "apply in your own handwriting".

Schools, some local businesses, family run shops and a few government offices in India still ask for it. They want to see that you can write clearly and set out a page with care. Here is how to do that well.

Quick answers

  • When

Only when the advertisement or employer asks for it.
  • Paper

Plain white A4 or ruled paper without a margin line torn out of a notebook.
  • Ink

Blue or black ink from one pen. No gel colours, no pencil.
  • Length

One side of one page, about 150 to 250 words.
  • Mistakes

Rewrite the page. Avoid correction fluid and crossings out.

When a handwritten job application letter is expected

Look for these signals in the advertisement or notice:

  • "Apply in your own handwriting" or "handwritten applications only".
  • A walk in notice that asks you to bring a written application.
  • A small office, school or shop that gives a postal address and no email.
  • A college placement cell or exam that asks you to write the letter by hand.

If none of these appear, type the letter. A neat typed page or a short email is the normal choice for most jobs. A typed version with samples sits on the job application letter page.

Subject: Application for the post of shop assistant

Respected Sir or Madam,

I read the notice on your shop counter asking for a shop assistant, and I am writing to offer myself for the post, as the notice requested, in my own handwriting.

I passed class 12 in the commerce stream this summer and helped at my uncle's provision store for two years after school. I can weigh and pack goods, keep the daily sale book and talk politely with customers in Hindi, Gujarati and English.

I live ten minutes from your shop and can come in early or stay late during festival weeks.

Kindly give me a chance to meet you.

Yours faithfully,

Subject: Application for the receptionist vacancy

Dear Dr [Surname],

Your receptionist vacancy, mentioned in the local weekly paper, asked for a handwritten application. Please accept this letter.

I hold a diploma in office administration and have worked for one year at a diagnostic lab front desk. There I booked appointments, kept the patient register by hand and handled calls during busy morning hours.

I know a clinic depends on a calm front desk and clear records, and I take pride in both. I can join from the first of next month.

Thank you for your consideration.

Yours sincerely,

Writing neatly when your handwriting is not great

  • Slow down. Most messy writing is fast writing.
  • Print in clear separate letters if your joined writing is hard to read. Clarity matters more than style.
  • Keep letter sizes even. Small letters about half the height of capitals.
  • Leave a little space between words, about the width of the letter o.
  • Write a practice copy first, then the final one.
Rest your wrist on a spare sheet of paper. It stops smudges and keeps sweat off the final copy.

Good and poor handwritten applications

Do

  • Use one pen for the whole letter, including the signature.
  • Write the subject line clearly and underline it once if your school teaches that.
  • Keep a photocopy or a phone photo for your records.
  • Fold it neatly into three with the writing inside.

Do not

  • Squeeze extra lines at the bottom to fit everything.
  • Cut words in half at the end of a line.
  • Add drawings, stickers or decorative borders.
  • Staple certificates on top of the letter. Place them behind it.

Sending a handwritten letter by post, hand or upload

If you post it, write the employer's address in the middle of the envelope and your own address on the back flap. If you hand it in, place it in a clear folder so it stays flat. Some employers ask for a handwritten letter but want it uploaded or emailed. Then scan it flat in good light, save it as one PDF and name it with your name, such as Ritu_Receptionist_Application.pdf. The covering email can be two lines; see job application email for wording.

Teachers are often asked for a handwritten letter by private schools. Our teacher application samples cover that case.

Questions people ask

Is a handwritten job application letter still acceptable?

Yes, when the employer asks for it. If they do not ask, a typed letter or email is safer, because it is easier to read and to forward to the person hiring.

Should I use blue or black ink?

Either is fine. Blue shows that the letter is an original, black scans and photocopies more clearly. Pick one and use it for the whole page and the signature.

Can I write the letter on ruled paper?

Yes, if it is clean, full size and has no torn edge. Plain paper with a ruled guide sheet underneath looks a little more formal.

What if I make a mistake near the end?

Write the page again. One crossed out word may be forgiven, but correction fluid and overwriting make the letter look rushed.

How many words should a handwritten application have?

Aim for 150 to 250 words so it fits on one side with good margins. If an exam gives a word limit, follow that instead.
